Introduction

New York University Langone Health (“Institution,” "we," “us”, and “our”) may use or make available computer systems, online networks, devices, equipment, software, applications, and other technologies (collectively, “Institution Technologies”) as part of our employment of our employees, contractors, and others who work for us (collectively, “Employees”).   Employee use of Institution Technologies is subject to the Institution Code of Conduct, which is available to Employees on the Intranet

 

This Privacy Policy applies to Employee personal information collected through our Inside Health mobile application (“Inside Health App”), which is an Institution Technology.

 

This Privacy Policy DOES NOT apply to Employee information that we collect offline or through any other Institutional Technologies, including Institutional Technologies you may access through this App.

 

Information We Collect and How We Collect It

We may collect personal information from you when you access or otherwise use the Inside Health App. Personal information includes, but is not limited to your name, postal addresses, email addresses, telephone numbers, and information you include when posting content to the Inside Health App (such as comments, correspondence with other Employees). 

 

We and our vendors may use a variety of tracking technologies, such as cookies, that collect certain information whenever you interact with the Inside Health App such as device identifiers, your IP address, geographic location (country), other unique identifiers, all of the areas within the Inside Health App that you visit, and the length and time of the visit. We and these tracking technologies may use, store, or access tracking technology information about your online activities over time and across different devices and online websites when you use the Inside Health App.    

 

Depending on your device or application permission settings, the Inside Health App may collect information from devices you use to access the Inside Health App, including, but not limited to:

 

  • Camera (take pictures and videos) 
  • Photos/Media/Files (access photo, media, and file stored on the device)
  • Call information (make phone calls, such as through phone number links in the application)

 

If you do not consent to these application permissions, this may impact our ability to provide services, functionality, or features of the Inside Health App.

 

How We Use Your Information

We may use Employee personal information we collect to:

  • Communicate with you;
  • Onboard and enroll you as an Employee, or providing information on intercompany or intracompany job openings;
  • Administer compensation, reimbursements, benefits, and accommodations;
  • Facilitate affinity or other such employee resource groups;
  • Manage job duties, evaluate performance, provide training and education programs, and operate our business;
  • Manage corporate information technology (including monitoring use of corporate technologies);
  • Make it easier for you to log into corporate systems;
  • Comply with applicable laws and regulations (such as Equal Employment Opportunity reporting);
  • Manage the security of our premises and systems; 
  • Conduct quality assurance or research and development; and 
  • Detect and prevent fraud or other unlawful or harmful activity;
  • Other purposes disclosed at the time you provide your information.

 

We may combine your personal information with data we obtain from various sources, such as other Employees. 

 

We will store your personal information for no longer than is necessary for the performance of our obligations or to achieve the purposes for which the information was collected, or as may be required or permitted under applicable law. Unless otherwise required by applicable law, at the end of the retention period we will remove personal information from our systems and records or take appropriate steps to properly anonymize, aggregate, or deidentify it, where legally applicable.

 

Disclosure of Your Information

We may disclose Employee personal information to our affiliates, subsidiaries, our service providers that help us run our business, benefits providers, and government authorities as required or deemed necessary to comply with law.

 

In the event of a business transaction, we may disclose personal information to prospective or actual purchasers, investors, or successor entities in connection with a contemplated reorganization or an actual reorganization of our business, in connection with financing, a sale, or other transaction involving the disposal of all or part of our business or assets, including for the purpose of permitting the due diligence required to decide whether to proceed with a transaction, pursuant to assurances of sufficient data handling practices and safeguards.

 

We may also disclose personal information for legal compliance, law enforcement, and public safety purposes. For example, to law enforcement, government or regulatory bodies, lawful authorities, or other authorized third parties in order to comply with laws, regulations, court orders, or other legal obligations or to assist in an investigation, to protect and defend our rights and property, or the rights or safety of third parties, to enforce our rights, or agreements with third parties, or for crime-prevention purposes.

 

Other Online Services

Please note that this Privacy Policy does not apply to the practices of online services that we do not own or control. The Inside Health App may provide a link or otherwise provide access to external online services. We provide these links merely for your convenience. We have no control over, do not review, and are not responsible for external online services. 

 

Accessing and Correcting Your Personal Information

You may be able to update certain personal information in your account settings.  You may also send us an email at DigitalPlatform@nyulangone.org. 

 

Employee Monitoring

Employee behavior while using the inside Health App must be responsible, professional, ethical, lawful, and with sound judgment and common sense. We reserve the right to monitor, retrieve, and review interactions with and through the Inside Health App, including usage information and communications. The Inside Health App is to be used exclusively for work-related purposes, including time periods outside of regular business hours. You must not use the Inside Health App for personal use. As such, you have no expectation or right of privacy when accessing and using the Inside Health App, even if accessing the Inside Health App through personal devices. 

 

Data Security

We have implemented measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. All information you provide to us is stored on our secure servers behind firewalls.

 

The safety and security of your information also depends on you. You must use reasonable methods to protect the security of the Inside Health App and the data within. For example, do not share any log in credentials with anyone, attempt or successfully access areas on the Inside Health App not designed for your access or use, or attempt or successfully circumvent any technical, physical, or other security feature in relation to the Inside Health App.

 

The transmission of information via the internet and mobile platforms is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted through the Inside Health App.

We may update this Privacy Policy from time to time, as reflected by the “Last Updated” date at the top on this page.
